Switchvox - How do I create an IVR to record a name, then I can choose to accept or deny the caller?
This configuration will allow a caller to record their name, that the called party can then hear, and decide whether they want to accept the call or not.
Create a sound file (this will be anything as it will change with each incoming call).
Tools > Sound Manager
Create Sound: (You can record over the phone), Create the Sound into the 'Call Queues' folder, Sound Source: Record Over Phones, Ring Extension to Ring for Recording:
Save Sound
Create a call queue extension:
Setup > Extension > Manage
Create Extension
Extension Type: Call Queue
Put your extension in as a member.
Choose pickup announcement and choose the sound you just created.
Turn ON acknowledge call (this means you have to push 1 to connect the call, if you just leave it or hang up it should go on to the call queue routing).
In Call queue routing, set 'if the caller has gone through the ringing strategy 1 time route to____ and choose wherever you want the denied calls to go, maybe a general voicemail box.
Create an IVR
Tools > IVR Editor
Create IVR Menu
Create Actions, Action Type: Play Sound (this will be a custom sound you create that tells the caller to please say their full name after the beep, push # when done).
Create IVR Action, Action Type: Record Sound. Set Parameters: Stop Recording after seconds of silence: 5, Stop Recording after total minutes: 2, Set sound to a variable, Select an arbitrary variable name to this field " Recorded Sound Variable Name: "
Create IVR Action, Action Type: Store Recorded Sound in Sound Manager, Choose sound to store as whatever sound you created in step 1
Create IVR Action, Action Type: Dial Extension (this will be the extension of the call queue you created)
Assign an extension to this IVR
Setup > Extension > Manage
Create Extension, Extension Type : IVR(Interactive Voice Response), Click on Create Extension, Assign to an extension, Route to IVR Menu (Choose IVR created in step 2), IVR Menu Entry Point ( IVR Menu Beginning)
Route an incoming number to the IVR
Setup > Incoming Calls
What will happen:
The incoming caller will hit the IVR and be asked to say their full name, this will be recorded to a variable that then overwrites the sound in the Sound Manager you created.
Then it will dial the call queue that you are in and when you answer, that new sound (the callers full name) will play and you can push 1 to accept or ignore the call and it will follow the in queue call routing.
You may experience system performance issues with high call volume.
