Appointment Scheduler - User Guide

Overview

This Guide provides the instructions to add, update and delete Appointments in the Sangoma Appointment Scheduler.

Accessing Appointments within the Sangoma Appointment Scheduler.

The Appointment Scheduler can be accessed directly using a browser and also within TeamHub. 

Browser

TeamHub

  • From the browser access the TeamHub apps via app.sangoma.com  

  • Select Scheduler in the left navigation bar.

  • From the TeamHub webpage or TeamHub app, click Home in the left sidebar.

  • Click the View Apps button within the Apps gallery section.

  • Click the ( OPEN ) button in the Appointment Scheduler section.

  • A list of upcoming appointments is displayed with the option to add new appointments.

Appointment Actions

Add an Appointment:

  • Click the ( + APPOINTMENT ) button in the top right corner.

  • Follow the steps in the Add / Edit Appointment section.

Communicate / Send a Message:

  • Click the Action ( ) icon to the right of the desired appointment and select Communicate.

  • Enter the Message and click the ( Send ) button.

Update Appointment Status:

  • Click the Action ( ) icon to the right of the existing appointment and select Update Status.

  • Select a New Status and click the ( Save ) button.

Edit an Appointment:

  • Click the Action ( ) icon to the right of the existing appointment and select Edit.

  • Follow the steps in the Add / Edit Appointment section.

Delete an Appointment:

Click the Action ( ) icon to the right of the existing appointment and select Delete.

Add / Edit an Appointments

  • Once you have followed the above Add or Edit appointment steps the Create / Edit Appointment page is displayed.

  • Follow the steps below.

Select a service

  • Select one of the pre-defined services for this appointment.

  • Click the ( NEXT ) button.

Pick a time

  • The available Appointment Start Times for the current 5 day period is displayed.
    (Note: Once an appointment has been scheduled that time period will be removed from the available start times. Additionally any periods of time that were blocked out via the Off Times function in the corresponding configuration will also not be displayed.)

  • If the required appointment date is greater than the currently displayed dates, follow the step below.

    • Click on the Calendar icon to display the Calendar.

    • Select a date.

    • Click outside of the Calendar pop-up to close the pop-up.

  • Select a Start Time.

  • Click the ( Next ) button.

Contact Details

This page is used to add the person to this the appointment is for.

  • Search and select from the Contacts list the person for this appointment.

  • If the person is not in the current Contact list, click the ( + NEW CONTACT ) button and follow the steps in the Add New Contacts section below.

  • Any additional appointment fields that have been configured will be presented below the contact field (Example: Comments).

Add New Contacts

  • Enter the contact's First Name and Last Name.

  • Enter the contact’s Phone number or Email address.
    Note: The phone number should only include the phone number digits. (Example 9415551234)

  • Click the ( SCHEDULE ) button.
