Confirmation App Configuration Guide
Overview
Each Confirmation will be linked to an active configuration from the Sangoma Appointment Scheduler. Each time an appointment is scheduled in the linked configuration, confirmation messages will be forwarded according to the specific settings.
Perquisites
Messages sent from the selected SMS number may be blocked if the number is not associated with an active campaign in the SMS Campaign Registry application.
SMS numbers can be purchased and registered via the SMS Campaign Registry app..
A Sangoma Appointment App. configuration that is activated.
Accessing Configurations within the Confirmation App.
Access the TeamHub apps via http://teamhub-apps.sangoma.com and select Confirmation in the left navigation bar.
Click on Configuration on the left side panel.
Confirmation Configuration Actions
Add new Configuration.
Click the ( + CONFIGURATION ) button.
Follow the steps below.
Edit an existing Configuration.
Select the Edit option from the Action ( ⋮ ) icon for the desired Configuration.
Note: If the configuration is active you must inactivate the configuration by clicking the ( STOP CONFIRMATIONS ) button in the bottom right corner of the page.
Select the section of the configuration to be edited at the top of the page.
Follow the steps below.
Delete an existing Configuration.
Select the Delete option from the Action ( ⋮ ) icon for the desired Configuration.
Note: You must delete any active appointments before you can delete a configuration.
Confirmation Main Information
Confirmation Name - Enter a name for this Configuration.
Appointment Configuration - Select an existing appointment Configuration that was created in the Appointment App.
Send Delay - Select the number of minutes to wait before sending the Confirmation Message.
Max Number of Tries - Enter the number of times that the Confirmation Message should be re-sent if a confirmation response has not been received.
Retry interval - Select the how long to delay before re-sending the Confirmation Message.
Next - After all changes have been completed, click the ( NEXT > ) button.
Confirmation Variables and Links
Variables and Links are used to add additional information when communicating with the customer. This page displays the currently defined default Variables and Links.
Apply Defaults - Click the ( APPLY DEFAULT ) button to apply the previously defined default setting for this section.
Set As Default - Click the ( SET AS DEFAULT ) button, if you have adjusted the branding and want to set them as the default.
Follow the steps below to adjust the different sections of the Variables page.
Next - After all changes have been completed, click the ( NEXT > ) button.
Add / Edit / Delete Variables
Add a variable - To add an additional Variable to this configuration, click the ( + VARIABLE ) button.
Edit a variable - Hover over the desired Variable and click the edit/pencil ( 🖉 ) icon.
Delete a Variable - To delete a Variable, hover over the desired Variable and click the ( Ⓧ ) icon.
Note: If you want these changes to be the default, Click the ( SET AS DEFAULT ) button.
Variable name - Enter the name for this Variable. Value - Enter the value to be presented when this Variable is used. Click the ( SAVE ) button. |
Add / Edit / Delete Footer Links
Add a link - To add an additional Link to this configuration, click the ( + LINK ) button.
Edit a link - Hover over the desired Link and click the edit/pencil ( 🖉 ) icon.
Delete a Link - To delete a link, hover over the desired Link and click the ( Ⓧ ) icon.
Label - Enter the label name that will be displayed along with the link. Link - Enter a valid URL or phone number to be presented. Click the ( SAVE ) button. |
Confirmation Message
The conformation message is the text that will be included when a confirmation is sent out.
Configuring the SMS Text Message
Variables - Variables can be added to the Confirmation Messages.
Click the ( SEE ALL VARIABLES ) button to see a list of available variables.
Variables can be added to the SMS Message, the email subject line, and email body.
To add a variable, enter an existing variable enclosed in double brackets. Example {{appt_service}}.
SMS - This is the confirmation content that will be sent via SMS messages.
Enter the content and variables that will be sent to confirm the appointment.
Email - This is the confirmation content that will be sent via an Email message.
Subject - Enter the content and variables to be presented in the Email Subject line.
Message Body - Enter the content and variables to be presented in the Email Message line.
Next - After all changes have been completed, click the ( NEXT > ) button.
Confirmation Branding
This page allows for configuring the confirmation messages to match your desired branding.
Apply Defaults - Click the ( APPLY DEFAULT ) button if you do not need to add or edit the existing Branding or links.
Set As Default - Click the ( SET AS DEFAULT ) button, if you have added or updated any Branding and want to set them as the default Branding.
Follow the steps below to adjust the different sections of the Branding page.
Next - After all changes have been completed, click the ( NEXT > ) button.
Logo
This section allows for changing the logo displayed in the confirmation form.
To make adjustments:
Click the ( X ) icon to remove the existing logo. | Click the edit/pencil ( 🖉 ) icon to upload a new logo. |
Title Styling
This section allows for adjusting the color and font of the Title.
To make adjustments:
Click the edit/pencil ( 🖉 ) icon.
Adjust the Color, Font and Text Size of the Title.
Click the ( SAVE ) button when changes are complete.
Confirmation Buttons
This section allows for adjusting the color of the Buttons.
To make adjustments:
Click the edit/pencil ( 🖉 ) icon.
Adjust the Button color.
Click the ( SAVE ) button when changes are complete.
About Us
This section allows for adjusting the color of the links based on the actions taken by the end user.
To make adjustments:
Click the edit/pencil ( 🖉 ) icon.
Adjust the color of each action.
Click the ( SAVE ) button when changes are complete.
Confirmation Response Form
This section is used to adjust the content of the Response. Follow the steps below to configure the response form.
Response Title - Adjust the Title of the confirmation form.
Response Body - Adjust the content of the Response Body.
Response Actions - Adjust the response actions that the person can take.
Click the ( X ) icon to remove an existing response button.
Click the edit/pencil ( 🖉 ) icon and adjust the Button label.
Click the ( + OPTION ) button to add a new response button.
See below for more instructions on the edit/add button pop-up page.
Click the ( START CONFIRMATIONS ) button after all updates have been completed to finalize and activate the configuration.
Adding Response buttons ( + OPTION )
The following provides instruction when the ( + OPTION ) icon is clicked.
Status - Select what the status of the appointment will be after the button is clicked. Button Label - Enter the label for the button. Redirect URL or Phone Number - Enter a valid URL or phone number. Click the ( SAVE ) button. |
