Factory Defaults (blanking your configuration)

  1. Press and hold these keys down for several seconds: 1 3 5 7

  2. When prompted, insert the Admin Password.
    (if "456" does not work, please contact us for the password to your Polycom phone, or see "Admin password does not work or has been changed" below).

  3. The phone should wipe all existing configuration information and reboot.

The phone will load its configurations automatically from the PBX, assuming it is on the same network.  If it does not, refer to troubleshooting steps below.

Boot server setup

Use the silver four-way arrow keys in order to scroll through the menu options.

Press the center checkmark button to select.  (Or press the "Edit" softkey on the display.)

Because the LCD is small, only one option will be displayed at a time.  You must press the down arrow key in order to see more options available within a particular menu.

Network administrators - configure the phones to load updates en masse via DHCP-Option 66

RECOMMENDED:
On networks with a Windows Domain Controller or other advanced DHCP server that supports DHCP-Option 66, one can instruct all phones to load configurations from the IP address of the PBX.  Please refer to Setting the Boot Server (in IP Phones).

Individual phones: Manually setting the boot server

If setting the boot server on the phone manually, read on:

  1. Do this if the phone is idle, as shown in the photo:

    1. On the phone, press the Menu key and select Settings > Advanced

    2. Key in the password and press the "Enter" softkey,
      The factory default password for the Polycom is 456.  If this does not work, contact us for the password to your Polycom phone, or look up "reset Polycom password".

    3. Select Admin Settings > Network Configuration.

  2. Otherwise, do this if the phone is rebooting, as shown in the photo:

    1. During the boot countdown, press the "setup" softkey as shown in the photo to the right.

    2. Enter the password, and then press the Enter key. Contact us for the password to your Polycom phone.  Press the Enter key when you have entered the password.

  3. Now, enter the DHCP menu and change the DHCP boot server to static to prevent a third-party DHCP server from overriding your manual settings, which can cause a seemingly inexplicable "Could not contact boot server" message:

    1. Scroll down to "DHCP Menu" and select it.

    2. Scroll down to "Boot Server" and edit it (press the checkmark in the center of the silver directional arrows).

    3. Scroll right (">" key) until "Boot Server" is set to "Static" and hit the "Ok" key.

    4. Press the left arrow once to get back to the Network Configuration, and proceed with the following steps.

  4. Next, scroll down and select "Server Menu" to set the boot server.  At this point, the instructions differ depending on what type of server you have.

  5. Hosted server or if you are remote, do this:

    1. ServerType: FTP.  Select, and use the left/right arrows to change it to FTP, then hit Ok.

    2. Server Address: ftp.pbxtra.com.  Press the "<<" softkey to erase.  Press the "#" pound key until "URL" is displayed at the top of the screen.  Enter ftp.pbxtra.com using the * key to enter decimal points (it should type an actual period on the screen).  Hit Ok.

    3. Server User: Server ID.  Select, and press the "<<" softkey to erase.  Press the "#" pound key until "123" is displayed at the top of the screen.  Enter your Server ID as the username.  E.g. "12345".  Hit Ok.

    4. Server Password: FTP password.  Select, then press the "#" pound key until "123" is displayed at the top of the screen.  Enter your FTP password. 
      On hosted, the FTP password can be obtained from the Web Admin Panel under the Options: Settings tab: Phone Settings: FTP Connection Information. 
      Other servers may need to contact Fonality Support for their FTP password.

    5. Press the left arrow twice, or until prompted to save and exit.  Confirm by pressing the Yes softkey or selecting the appropriate option.

  6. If your server is premise-based, and you're on-site with the server, do this instead:

    1. ServerType: TrivialFTP.  Select, and use the left/right arrows to change it to TrivialFTP, then hit Ok.

    2. Server Address: Internal IP address of your PBX.  Select, and press the "<<" softkey to erase anything currently in there.  Press the "#" pound key until "IP" is displayed at the top of the screen.  Enter the Internal IP Address of your PBX server using the * key to enter decimal points (it should type an actual period on the screen).  Hit Ok.

    3. Press the left arrow twice, or until prompted to save and exit.  Confirm by pressing the Yes softkey or selecting the appropriate option.

  7. The phone should load up configurations from the PBX and work.

Troubleshooting

Phone does not get an extension, or displays "Unable to contact boot server"

See "Individual phones: Manually setting the boot server" (steps 1-7)above.

Admin password does not work or has been changed.

If the default of 456 does not work, and you've obtained the admin password from Fonality Support and that doesn't work, or if someone has changed the admin password on the phone:

  1. Find and write down the MAC address (serial number) of the phone you want to reset. It should be twelve characters, and look something like '0004F2ABCDEF'.  If you can't read the back label, you can find the MAC address by pressing Menu, Status, Network, Ethernet.

  2. Power down the phone.

  3. Power up the phone.

  4. While powering up the phone (you have about 4-8 seconds to complete this step):

    1. For SoundPoint IP 320, 321, 330. 331, 335, 430, and 450 press and hold the 1, 3, 5, and 7 on the dial pad at the same time.

    2. For SoundPoint IP 301, 501, 550, 600, 601, and 650 press and hold the 4, 6, 8, * on the dial pad at the same time.

    3. Polycom IP 4000 and IP 6000 conference phones: hold just 6 8 * (only three keys) on the dial pad at the same time.

  5. After holding down the numbers for few second, you will be promoted to enter the admin password.  Enter the MAC address of the phone. No colons and the alpha characters must be entered as lower case letters.
