What is covered in this Guide?

This guide explains the basic steps to setup and maintain Business Voice for Microsoft Teams.

Prerequisites:

  • Users with Microsoft Teams extensions must be set up in the Business Voice Portal

  • Sangoma will need a list of the users that are required to be set up

  • Sangoma will need the contact info for the Customer’s Microsoft Teams Global Admin, so that Star2Star can work with the Admin to configure Business Voice for Microsoft Teams

  • Assign the correct Microsoft licenses allocated to each user

  • There needs to be at least 1 unassigned license for the Direct Routing user to access the Domain.

  • The correct license will be dependent on which M365 license you have

Customer/Enterprise Configuration

  • The Sales Partner or Sangoma Sales Engineer will contact the customer and retrieve the Microsoft Teams Global Admin contact info.

  • Sangoma support will contact the Microsoft Teams Global Admin to arrange a meeting to start the Business Voice for Microsoft Teams setup process.

Note: During the setup meeting Sangoma will work with the Microsoft Teams Global Admin and try to complete the entire setup while they have the admin on the call.

  • Sangoma will add the customer/enterprise to the Business Voice for Microsoft Teams portal.

  • Once the customer/enterprise has been added, an email will be sent to the Microsoft Teams Global Admin and we can continue with the Direct Routing steps below.

Direct Routing Configuration

Welcome Email

Once the Customer/Enterprise has been configured, the Microsoft Teams Global Admin will receive an email from the Business Voice for Microsoft Teams portal that includes a link to the Business Voice for Microsoft Teams portal and an invitation code. (See example below)

Dear Enterprise Administrator,

 

Welcome to the Sangoma Business Voice for Microsoft Teams Portal. Once you have completed this process you will be able to make and receive calls using your usual phone system from within Microsoft Teams using the Microsoft native dialpad.

 

There are a few steps to finalize your setup of Sangoma Business Voice for Microsoft Teams.

  • Use the link below to login to the Sangoma Business Voice for Microsoft Teams Portal using your Microsoft Office 365 Global Administrator credentials.

  • Navigate to the 'Direct Routing Management' menu. (Please note: The credentials for the Direct Routing User must be associated with a licensed (E1, E3, E5, Microsoft Business Voice) Microsoft Office user.)

  • Click on Direct Routing.

  • On the Direct Routing page, click on the Configure Direct Routing Details tab at the top.

  • Select US East 1 in the SBC Region.

  • Select a valid Domain Name in your Office 365 Tenant/Organization and input the Invitation Code included below.

  • Next, reach out to your Authorized Sangoma Reseller so they can finalize your setup on Star2Star Business Voice for Microsoft Teams.

 

We will do our best to keep you informed during the provisioning process. Some processes are asynchronous - Microsoft takes time to propagate new Office settings. On these you will receive email notifications when things are ready.

You must use the "Complete" button below to activate the Sangoma Business Voice for Microsoft Teams Portal. You will be required to enter the Invitation Code provided below.

Allowing Access to the Microsoft Domain

  • The Microsoft Teams Global Admin can click the link provided in the welcome email or Click the following link:

Sangoma Business Voice for Microsoft Teams Portal.

  • The Microsoft Teams Global Admin will be prompted to sign in with their Microsoft Teams Global Admin credentials.

  • There will be a pop-up box that asks the Microsoft Teams Global Admin to “allow access to Microsoft Domain” for the integration.

Enabling Direct Routing

Note: There needs to be at least 1 unassigned license for the Direct Routing user to access the Domain.

Note: Once the Direct Routing has been enabled the license that was required for the Direct Routing user during the Direct Routing configuration can be removed.

  • Select the “Direct Routing” option on the left side of the page.

  • Enter the following details:

  • Available Gateway: Select the appropriate Gateway for your region.

  • Invitation Code: Copy and Paste from the introduction email.

  • Domain Name: Select Available Domain

  • Click the “Complete Direct Routing” button towards the button of the page.

Note:

This will connect the Microsoft Teams tenant to the Business Voice systems. This part usually takes 10 to 15 minutes for the system to complete. While waiting for the Direct Routing to complete, it would be a good time to review and update the user list and available licenses.

Connecting the Business Voice Portal Users

Prerequisites:

  • Users & Microsoft Teams extensions must be set up in the Business Voice Portal.

  • Star2Star will need a list of the users that need a connection between Sangoma Business Voice and Microsoft Teams.

  • The Direct Routing setup process must be complete.

Sangoma Support Adds Users:

Note: This step is required to be completed by Sangoma Support, and if there are a lot users may take more time than allocated during the setup meeting..

Note: Once the Direct Routing has been enabled the license that was required for the Direct Routing user during the Direct Routing configuration can be removed.

  • Sangoma will validate the users that need the connector, have the correct Microsoft licenses assigned that supports Microsoft Teams Softphone. If they do not Star2star can assist the customer with getting the correct license assigned.

  • Sangoma will add the connector for each user on the customer provided user list.

  • Once all the user connections have been created, Sangoma Support will notify the Microsoft Teams Global Admin to complete the sync users steps.

Microsoft Teams Global Admin Syncs Users:

  1. Log in using the Microsoft Credentials.

  • In the left-hand side bar:

  1. Select User Management.

  1. Select Manage Users.

  • Click the Sync Teams Registration button on the right-hand side of the page.

(This will start the process of user synchronization between Sangoma and Teams)

  • Once the system completes the synchronization the team’s integration is complete.
