Business Voice - StarFax Digital User Guide

StarFax Digital adds reliable, high-quality desktop faxing to any Sangoma Business Voice system. Users can send and receive faxes to and from their desktop or laptop computers with no physical fax machines or other hardware.

StarFax Digital is an add-on feature (called a Starlet) that operates within the same revolutionary next generation application framework as StarScope 2.

Each StarFax Digital user is assigned a unique, personal fax number for incoming faxes. When a fax is sent to that number, the fax is received by Sangoma’s Business Voice system and stored "in the cloud" at a Sangoma data center.

Incoming faxes are stored as PDF files and can be viewed within the StarFax starlet or using a PDF viewer. Incoming faxes pass through an Optical Character Recognition (OCR) program, so all received faxes are fully searchable. (Note: Only the first 10 pages will be scanned and indexed for the purpose of OCR searches.)

StarFax Digital users can send virtually any type of printable file (pdf, jpg, png, tiff) directly from the StarFax Digital software. Laptop users can send and receive faxes anywhere where there is an Internet connection. Users have the option to attach a default cover sheet or custom cover sheet by uploading header and footer images.

Limitations on files that can be sent: Maximum file size is 20Mb. Maximum file name length is 50 characters. StarScope 2 and StarFax Digital run on the Business Voice Application Framework.

Access StarFax Digital by clicking on the Navigation Icon at the top right of the StarScope 2 screen. Select StarFax Digital to open the StarFax Digital Starlet.

Click on Send a Fax to open the Send Fax screen.

Enter the recipient's fax number or click to Add Recipients.

Under Fax Content, click to select the file to be faxed. You have the option to attach a default cover sheet or customize a cover sheet by uploading a header and/or footer image.

If you choose to customize a cover sheet, enter a Template Name and upload a header and/or footer image(.png or .jpg).

You may preview the header and footer image by clicking on Preview Image above the Remove File box.

Click to preview the cover sheet template.

Click box to include Cover Page and enter information in the Attention, Subject and Message boxes. Click Send Fax to transmit.

Click Sent to display faxes sent.

You may select faxes by clicking in the box and Move , Forward , Download or Delete .

Click and a dropdown box will display options to move the selected fax.

Click to forward a fax.

Click to download the selected fax(es) to your computer. A dialog box will open enabling you to save the fax displaying the receiving number, date and time sent or received.

Click to delete the selected fax(es).

Click on Outbox to display pending faxes to be sent.

Click the small fax icon in either Inbox, Outbox or Sent to display the fax on your screen. (Note: The number next to the fax icon indicates the number of pages in the fax).

You can create folders to categorize faxes by clicking on Folders.

Enter the new folder name and click the check box to save.

Click in the Search Box to enter date or keyword(s) to search for specific fax(es).

StarFax Digital's OCR (Optical Character Recognition) search feature searches the first 5 pages of faxes for content.

Enter Keyword, Date Range and Fax Limit. Click Apply to complete search.

You may set the preferences for Fax email or text alerts, Fax limit and display in either list or grid in the StarFax Digital settings starlet:

Screen pop notifications are configurable in the Settings Starlet:

 

StarFax Digital will display a screen pop notification when the fax is delivered.

StarFax Digital will display a screen pop notification when a fax is received.

StarFax Digital will display a screen pop notification when a fax fails to deliver.

Inbound faxes to StarFax Digital can alert users via email and text message. When delivered to email, the user has the option to have the fax attached in the usual PDF format.
