Switchvox Media Admin Training

Media

This article is a companion document for the Switchvox Media video and will guide you through how to utilize Music-on-Hold, as well as the Sound Manager.

The Media tab can be found by under the Tools section.

This allows you to set up audio programs for callers to hear when they are on hold, waiting in a queue, parked, or being transferred. Although the audio in Music on Hold is referred to as 'Songs', you may also include custom announcements. All Music on Hold is listed on the main screen.

From the View drop-down menu, you may view 'All Songs', or filter by group.

You may also delete, move, or copy songs to a different group.

Under Actions, you have the option to modify the name, or play the song.

To upload a new sound, click Upload Song (first photo). To search for your audio file, click on the Song to Upload box, and select the audio file you want to upload (second photo). Note: sound files must be uploaded as MP3 or OGG files. Next, name the file and select the group you wish to add the file to using the Add to Group drop-down menu. Finally, once all the info has been entered, click Upload Song.

To add a new group, go to the Groups tab, and click Create Group. Having groups allows you to specify which songs are played for your music on hold while callers are waiting in queues or are on hold.

Enter the group detail, which includes:

  • Group Name

  • Description

  • Play Volume

  • Play Order

Once all info is given, click Save Group.

Sets the system default group that is used while callers are on hold, waiting in a parking lot, or being transferred.

After changes have been made, click Restart Software for the changes to take effect.

Note: if you have an external source of music on hold, you may use a Turtle Beach Amigo II USB sound card to connect that source to your Switchvox appliance.

This allows you to create, upload, modify, and delete all of the sound prompts in Switchvox other than Music on Hold. Sound Manager also allows you to organize your sounds in folders and manage the same sound prompts that are in different languages.

To view available sounds on your Switchvox, click on the View drop-down menu. Sounds may be filtered by:

  • All Sounds

  • All Sound Packs

  • All Folders

  • All Languages

  • Individual Folders

From the Create drop-down menu, you may:

  • Create New Sound Prompts

  • Add Sound Pack

  • Create New User Folder

  • Add New Language

Note: Sound Packs are pre-configured language packages that you may add in addition the default English sound pack. Sound Packs are available by going to Tools -> PBX Features -> Digium Addon Products. You will need your 16 digit registration code to obtain a sound pack.

Before creating a new prompt, create a new user folder called My Prompts Folder. To do so, select 'Folder' from the Create drop-down menu, enter the folder name and a description, then select Save Sound Folder.

To create the actual sound prompt, select 'Sound' from the Create drop-down menu and hit Go. From the Sound sub-menu, enter:

  • Sound Name

  • Sound Description/Script- enter a script for the recording.

  • Folder- where the sound will reside.

  • Sound Language

  • Sound Source- you can record a sound then upload the file or record the sound over the phone. Note: if recording over the phone, enter the extension to ring and select Ring Phone. Switchvox will then call your phone and instruct you on when to leave your message.

When you have completed your recording, click Done and then Save Sound.

To view your new sound prompt, select My Prompts Folder from the View drop-down menu.

You may also:

  • Play sounds using your computer's audio player.

  • Play sound to phone.

  • Modify your sound prompt.

  • Delete your sound prompt.

To delete a sound from Switchvox, select the box next to the sound, then click delete. You will then be asked to verify that you want to permanently delete that sound- click Yes, Delete Sounds.

Note: only user prompts may be deleted- you cannot delete system sounds.
