How to use TeamHub Chat

Overview

Sangoma’s TeamHub Chat provides the ability to collaborate with teammates inside Channels, or in a Direct Messages.

Channels

Direct Messages 

Channels are public or private collaboration areas based on teams or topics. 

  • Public Channels allow anyone within the organization to join.

  • Private Channels require a member to be invited into the channel.

Direct Messages are private chat sessions just between you and someone else (or a group of people).

  • Click Here to access TeamHub.

  • Login using your Sangoma credentials.

  • In the left navigation panel click  Chat  to open the Chat page.

  • The Chat Sidebar is displayed on the left side of the Chat page.

  • The last accessed Channel or Direct Message is displayed on the right side of the Chat page.


Chat Sidebar Overview

The Chat Sidebar is used to organize and navigate your conversations. The sidebar displays your direct messages, channels you've joined, and notifications for specific conversations.

The Chat Sidebar consist of the following functions:

Find a channel

This function provides the ability to search, view and join a channel. Click Here for more details.

Insights

This function displays statistics on your chat activity.

Threads

This function displays all the message threads that you’re participating in or following. 

  • You can switch the display to just unread threads or back to all threads.

A message thread is a message where someone uses the reply function to respond to a specific message. 

Drafts

This function displays all messages that were started but not sent. If any draft messages exist, the number of draft messages will be displayed.

FAVORITES

This section, when expanded, lists all the Channels and Direct Messages that have been set as a Favorite. 

Categories

Channels and Direct Message can be grouped into categories.  The Category creator can name the category. 

CHANNELS

This section, when expanded, lists all the Channels that you have joined. (Note: Channels flagged as a favorite are moved to the Favorites section.)  

The number of unread messages is displayed to the right of the channel name. Channels are differentiated by public ( # ) or private (🔒)  designations:

# - Public channels are visible to anyone within the organization, and are open for joining without channel owner approval.

🔒 - Private channels are only visible to channel members. Members can only be added by the channel owner.

DIRECT MESSAGES

This section, when expanded, lists all the Direct Messages that you have.

Chat Shortcut Keys

Chat supports many Keyboard Shortcut keys.  To get more information on the Keyboard Shortcut keys using your keyboard press the CTRL key and  /  key simultaneously.

Note: Some shortcuts may not be applicable for some accounts or use cases.

How to work with chat messages

You can contribute to a discussion by writing messages. Within a message you can use formatted text, add links, add emojis, attach files, and mention teammates.

Note: If You navigate away or log out, the message will not be saved.

How to access messages

You can start, edit or take other actions on chat messages from within a Channel or Direct Message. 

  • Click on a Channel or Direct Message within the Chat Sidebar.

  • The Channel/Direct Message Stream will be displayed to the right with a list of previous activities.

How to create a new message

  • Click on a Channel or a Direct Message and the Message Stream is displayed to the right.

  • At the bottom of the page enter a new message at the bottom of the Channel or a Direct Message.

  • Click the Send  (   ➤   )  button at the bottom right of the Message Entry area.

Mention Teammates

Teammates can be mentioned/tagged in a message using the @member name format (example: @Anna). Enhance your team’s collaboration by using @mention teammate to ask for input, or draw attention to action items that require a teammate’s attention. If a teammate is mentioned in a public channel, it will show as a new activity in their Channel list helping to draw their attention to your message. They will get a new notification displayed on the ring bell and get a Desktop Push notification if they have it enabled.

Text Formatting Options

On the bottom of the message entry, are text formatting options. This allows you to format the text so that you can change the appearance of your messages. 

  • Click the ( Aa ) icon to hide or display the format options.

Note: To insert a new line within a message press the Shift and the Enter key at the same time. 

Add Links

To add a link within a message, Click the Link (🔗) icon and the following will be added to the message [](url).

  • [ ] - Inside the brackets enter the text to be displayed for the link.

  • (url) - Inside the parentheses enter the URL for the link.

Attach Files

To add a file to a conversation, at the bottom of the Message Input click the attach ( 📎 ) icon, or drag-and-drop a file from anywhere directly into the message input.

Note that the maximum file size is 50 MB.

Addition Message options

For Additional Message options hover over an existing message and the Message Action toolbar will be displayed.

Reactions

  • Thumbs Up - Replies with an Thumbs Up emoji.

  • Grinning - Replies with a smiley face emoji.

  • Check Mark - Replies with a Check Mark emoji.

  • Add addition emoji reactions - Allows for selecting an emoji response.

Save  - Save the message.

Sangoma AI;

  • React for me - Sangoma AI will reply with an AI selected emoji.

  • Summarize Thread - A new Direct Message will be displayed called Sangoma AI, with a summary of the thread.
    (Only available for message threads “a post with replies”)

  • Key points of a Thread - A new Direct Message will be displayed called Sangoma AI, with the key points of a thread.
    (Only available for message threads “a post with replies”)

Reply - The Reply action allows you to add a direct response to a specific message, creating a threaded Response.
See below for more information about threaded responses.

More - Click on the More ( ) icon for additional options, including Edit and Delete functions.

How to Reply to an existing message

Note: Replying to an existing message creates a message thread and can be easily accessed in the Threads section in the Chat Sidebar.

  • Click on a Channel or a Direct Message and the Message Stream is displayed to the right.

  • 2 options to start a reply/thread

    • Hover over the desired message within the Message Stream and click the Reply (image-20240326-125111.png) Icon.

    • Click on the desired message within the Message Stream.

  • Enter the reply message in the Reply Entry area that is displayed to the right.

  • Click the Send  ( ➤ )  button at the bottom right of the Reply Entry box.

How to edit your message response

If you have created a message you can go back and edit the message.  

  • Hover over an existing message and click the Menu ( ) icon that is displayed.

  • Select Edit.

  • Make your changes.

  • Click the   Save update   button.

  • Click the   Cancel   button to back out of the changes.

How to delete your message response

If you created a message you can go back and delete the message.

  • Hover over an existing message and click the Menu ( ) icon that is displayed.

  • Select Delete.

  • Click the   DELETE   button to confirm you want to delete the message.

  • Click the   CANCEL   button to back out of the changes.

How to mark a message as read or unread

  • Hover over an existing message and click the Menu ( ) icon that is displayed.

  • Select Mark as Read or Mark as Unread.

How to pin a message

  • Hover over an existing message and click the Menu ( ) icon that is displayed.

  • Select Pin to Channel.

Working with Talk in Chat

How to Call an Extension

  • Open the Direct Message where you want to make an extension call

  • Click the   Talk   button in the top right corner of the page.

  • Once you clicked, it will start dialing the user’s extension.

  • A small call card will appear for you to end the call, put the call on hold or mute yourself.

Working with Meet in Chat

How to Start a Meet (Audio and Video call)

  • Open the Channel or Direct Message where you want to start an audio or video meeting

  • Click the Meet () icon in the top right corner of the page, and the meeting info will be displayed in the chat room for all members of the channel, private or group conversation see.

  • Click the image-20240328-105252.png button and the Sangoma Meet app will open so you can join the meeting.

Working with Direct Messages

Create a new Direct Message

  • Click the (+) icon to right for the Direct Message label in the Chat Sidebar.

  • Search and select the people to be included in the chat. 

  • Click the   GO   button.

Open and Respond to a Direct message

  • Click on the desired Direct Message name in the Chat Sidebar. 

  • The Direct Message will be displayed to the right.

  • The Direct Message displays a list of all the previous activity that has happened within the Direct Message.

  • New messages can be entered in the Message Entry box at the bottom of the message.

  • Within the message header section:

    • Click the Pin ( 🖈 ) icon to pin or unpin.

    • Click the Page ( 🗎 ) icon to add a header.

  • Click on the Direct Message name to display a list of the following functions that can be performed.

    • Move to Favorites.

    • Move to a new or different Category.

    • Mute the conversation

    • Edit the conversation Header

    • Close the Direct Message

How to Add or Remove a Direct Message from Favorites

Several methods are available for setting a Direct Message as a favorite. 

  • Hover over the desired Direct Message in the left side panel and click the Menu ( ) icon:

    • To add to favorites select Favorite.

    • To remove from Favorites select Unfavorite.

  • Open a Direct Message and click on the Star ( ) icon next to the Direct Message Name to add or remove from Favorites.

Working with Channels

How to create a Channel

  • Click the ( + ) icon at the top of the Chat Sidebar and select Browse Channels from the menu.

  • Click the + Create New Channel option.

  • Enter a Channel Name.

  • Select if the channel is to be public or private.

  • Enter the channel description / purpose (optional).

  • Click the CREATE CHANNEL button.


How to filter profanity and toxic messages in Channels

This option allows Sangoma AI, to restrict and notify channel members if they create messages that might be deemed inappropriate.

  • Open a Channel that you have admirative rights to.

  • Click on the Info ( icon-portal-information-20201028-095015.png ) in the top right corner of the channel.

  • The channel information panel will be displayed on the right side of the channel.

  • Click on the Slide Bar above the moderation level to be implemented for this channel. The options are OFF, LOW, MEDIUM, or HIGH.

  • If OFF is select then no monitoring will be done.

  • Selecting Low will mostly restrict profanity.

  • Higher levels will look for and restrict toxic phrases such as: “you are a liar”

How to find a Channel

There are a 2 methods to find a Channels.

Browse Channels

Click the ( + ) icon at the top of the Chat Sidebar and select Browse Channels from the menu.

To join the channel click the JOIN button.

Find channel

Select Find channel at the top of the Chat Sidebar, and enter the search criteria.

To join the channel click the Channel.

Channel Member Management

How to add Members to a Channel

Several options are available to add members.

  • Hover over the desired Channel and click the More ( ) icon:

    • Click Add Members.

    • Search and select Members.

    • Click the  ADD  button.

  • Open the desired Channel:

    • Click on the Channel Name at the top of the channel.

    • Select Add Members from the menu.

    • Search and select Members.

    • Click the  ADD  button.

  • Open the desired Channel:

    • Scroll to the top of the Channel activity list.

    • Click the   ADD MEMBERS TO THIS CHANNEL   button.

How to remove Members from Channel

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select Manage Members from the Menu.

  • Click the  Member  option next to the desired member.

  • Select Remove from Channel.

How to add or remove Admin rights for Channel Member

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select Manage Members from the menu.

  • Click the  Member  option next to the desired member.

  • Select Make Channel Admin or Make Channel Member.

How to Leave a Channel

Several methods exist to leave a channel. 

  • Hover over the desired Channel and click the Menu ( ) icon that is displayed:

    • Select Leave Channel.

  • Open the desired Channel:

    • Click on the Channel Name at the top of the channel.

    • Select Leave Channel.

  • Open the desired Channel:

    • Click on the Channel Name at the top of the channel.

    • Select Manage Members from the menu.

    • Click the  Member  option next to your name.

    • Select Leave Channel.

How to Archive a Channel

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select Archive Channel.

How to Edit a Channel Header

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select Edit Channel Header.

How to Edit a Channel Purpose

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select Edit Channel Purpose.

How to Copy a Channel’s Link

  • Hover over the desired Channel and click the Menu ( ) icon that is displayed.

  • Select Copy Link.

How to Mark a Channel as Read or Unread

  • Hover over the desired Channel and click the Menu ( ) icon that is displayed.

  • Select Mark as Read or Mark as Unread.

How to add or remove a Channel from Favorites

Several methods are available for setting a Channel as a favorite. 

  • Hover over the desired Channel and click the Menu ( ) icon that is displayed:

    • To add to favorites select Move to Favorites.

    • To remove from Favorites select move to Channel or a Category.

  • Open a Channel and click on the Star ( ) icon next to the Channel Name to add or remove from Favorites.

  • Click on the Channel Name, select View Info, and click the Star ( ) icon to add or remove from Favorites.

How to Move a Channel

  • Hover over the desired Channel and click the Menu ( ) icon that is displayed:

  • Select Move to. The move options are: 

    • Favorites.

    • An existing Category.

    • New Category.

    • Channel.

How to Mute a Channel

  • Hover over the desired Channel and click the Menu ( ) icon that is displayed:

  • Select Mute Channel.

How to change Chat Notification preferences

Global Notifications

  • Click the Settings ( ) icon in the Chat header.

  • Select Chat Settings.

  • Select Notifications in the panel on the left.

Channel Specific Notifications

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select Notification Preferences.

How to Rename a Channel

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select Rename Channel.

How to Open or Close the Channel Info

  • Open the desired Channel.

  • Click on the Channel Name at the top of the channel.

  • Select View Info to open or Close Info to close.
