Q:  Is Paperless Fax compatible with sending faxes to and receiving faxes from a traditional fax machine?

A:  Yes.

 

Q: What format is the email when it arrives?  

A: Faxes are emailed to you as an attached PDF.

 

Q: Once I email the file, how will I know if it worked?  

A: Confirmation emails are sent to confirm delivery  

 

Q: Fax machines fail all the time. How do you handle that?  

A: When you email your fax, our service confirms receipt of the email, faxes to the intended recipient, handles all the retries (when necessary), and sends a confirmation email back to you when the transmission is completed.  If errors occur that cannot be handled through retries, an email is sent to notify you there is a problem.  

 

For receiving a fax, our service uses commercial grade equipment, which eliminates many errors typically caused by office fax machines.  Additionally, our redundant data centers ensure high availability, resulting in rare busy signals.  Therefore, most faxes sent by others are received on the first try, which helps to avoid all the slow and problematic retry attempts.  

 

Q: How reliable is this service?  

A: Most fax failures are caused by the machine and human error. By eliminating a fax machine & telephone line from the equation, the service is inherently more reliable than typical “old school” faxing.  Additionally, the service is run from redundant data centers to ensure high availability.  

 

Q: Will I failed or partial faxes be charged against my 500 pages?  

A: No. Failed attempts and partial faxes are tracked, but are not counted against the 500, nor billed past 500 pages in a month  

 

Q: How does this work with my mobile device?  

A: Any device that can email and attach a document can send a paperless fax.   Any device that can email and open a PDF can receive a paperless fax.  No special client is needed.

 

Q: What are the email and operating system requirements?  

A: This works with virtually any email client & OS that can handle attachments. 

 

Q: How do I manage and administer my fax account?  

A: You manage your account at fax.fonality.com, where you can set preferences, manage email addresses, and check detailed logs.  

 

Q: Do I need any special version or edition of Fonality phone system?  

A: No. This service works with any version  

 

Q: Does this integrate with HUD?  

A: Not yet. Currently, this is an email-only based solution.  Integration with HUD is on our roadmap. 

 

Q: How do I know when the fax is received on the other end?  

A: A confirmation email will be sent when the receiving fax machine confirms it’s complete  

 

Q: Is there an option to receive faxes on a traditional fax machine?  

A: Yes.  You can pair Fonality Paperless Fax with Fonality FaxLync which is a device that enables you to connect your traditional fax machine to your internet connection. 

 

Q: Can multiple people share a single fax line?  

A: Yes. Outbound faxes must be sent from the email associated with the fax line but inbound faxes can be forwarded in any manner that your email system allows  

 

Q: Why does it take up to 6 weeks to move my existing fax number?  

A: Your current carrier “owns” that number. A request to move the number to us must be submitted to them. Most carriers take several weeks. If we are moving voice numbers to Fonality, we will process those numbers first. If we are not moving voice numbers, it may only take 3-4 weeks to move your fax number  

 

Q: Do I have to wait until the number is moved to begin using paperless fax?  

A: No. We will assign a temporary number for you to use immediately. You may even ask your carrier to forward your existing number to the temporary number we assign. When your carrier moves your existing number to us, we will remove the temporary number and use your existing number automatically  

 

Q: Is this service secure?  

A: Yes. Outbound faxing can only be done using the email address associated with the fax line.  

 

Q: How can I monitor usage?  

 A:. If you wish to monitor your usage throughout the month, you will be able to run usage reports from fax.fonality.com.
